  1. Purpose, Scope, and Users

This policy is designed to ensure that you, as a student of Al Nafi International College studying EduQual diplomas, understand the processes and conditions for transferring between diploma levels and accessing your course materials and assessments. It supports a smooth academic progression while ensuring compliance with Al Nafi’s quality standards and international accreditation requirements. This document also governs your rights and responsibilities regarding course access duration, assessment timelines, and retake procedures.

1.1. Definitions and Terminology

For the purpose of this policy, the following terms and definitions shall apply to ensure consistency, clarity, and a common understanding among students, academic staff, and administrative personnel.

1.1.1 Al Nafi International College

The educational institution responsible for delivering diploma programs, managing student enrollment, facilitating assessments, providing academic support, and coordinating certification processes with the relevant awarding body.

1.1.2. EduQual Diploma

A qualification awarded by EduQual upon successful completion of the applicable academic, practical, and assessment requirements. Diplomas are offered at EduQual Level 3, 4, 5, and 6, with each level having its own learning outcomes, entry requirements, and assessment criteria.

1.1.3. Legacy Cohort

Students enrolled in an EduQual diploma program before 1 August 2026. These students are generally governed by the assessment structure applicable at the time of their enrollment, including multiple-choice question (MCQ) assessments and oral presentation examinations, unless they formally opt to switch to the new lab-based assessment framework.

1.1.4. New Lab-Based Cohort

Students enrolled in an EduQual diploma program on or after 1 August 2026. These students follow the revised assessment framework, which includes practical laboratory assessments, MCQs, and an external English language proficiency examination. Oral presentation and viva voce examinations do not form part of this assessment framework.

1.1.5. Course Access

The period during which a student is authorized to access the learning materials, recorded lectures, practical laboratories, and other educational resources associated with their enrolled diploma program through the Al Nafi Student Portal. The duration of access depends on the diploma level, enrollment date, and selected payment plan.

1.1.6. Assessment Access

The period during which a student is permitted to attempt and complete the assessments required for their registered diploma. Assessment access is governed by the applicable cohort requirements, course access validity, registration status, and assessment deadlines.

1.1.7. EduQual Learner Registration Fee

The fee payable for registering a student with EduQual for a specific diploma qualification and level. This fee is separate from the course fee and is non-refundable and non-transferable. Payment is required to complete the formal registration process and obtain access to the applicable formal assessments and certification.

1.1.8. Course Fee

The amount payable to Al Nafi International College for enrollment in a diploma program and access to its associated learning resources. Course fees may be paid through available payment plans, subject to the terms and conditions applicable at the time of enrollment.

1.1.9. Al Razzaq Labs

Practical, hands-on laboratory exercises designed to develop and evaluate students' technical knowledge and vocational competencies. Al Razzaq Labs are organized into Part 1 and Part 2, with access and completion requirements determined by the student's enrolled diploma, payment status, and applicable assessment framework.

1.1.10. Additional Lab Assessments

A separate set of mandatory practical assessments applicable to only legacy cohort students enrolled in the Diploma in DevSysOps Engineering (EduQual Level 5) or the Diploma in Artificial Intelligence Operations (EduQual Level 6) who have switched to the new lab-based assessment framework.

These assessments are separate from Al Razzaq Labs Part 1 and must be completed in accordance with the applicable assessment requirements. Additional Lab Assessments do not apply to EduQual Level 3 or Level 4 diploma programs.

1.1.11. Lab-Based Assessment Framework

An assessment model in which students are evaluated through a combination of practical laboratory assessments, multiple-choice questions, and an approved English language proficiency examination. Under this framework, students are not required to appear in an oral presentation and viva voce examination.

1.1.12. Oral Presentation and Viva Voce Examination

An assessment component applicable to eligible students in the Legacy Cohort who remain under the original assessment framework. Students are required to prepare and present an assigned topic, demonstrate practical implementation where applicable, and respond to questions from the examiner to establish their understanding of the subject.

1.1.13. Multiple-Choice Question (MCQ) Assessments

Online assessments consisting of objective questions designed to evaluate students' understanding of the prescribed course content, learning outcomes, and competencies. Completion and grading are governed by the applicable Assessments and Grading Policy.

1.1.14. Top-Up Diploma

A progression pathway designed for students who have already completed the relevant prerequisite qualification and wish to obtain a higher-level diploma without repeating previously completed components.

The top-up pathway is intended for students who have completed the Diploma in DevSysOps Engineering (EduQual Level 5) or meet the applicable equivalent qualification requirements. Successful completion of the top-up pathway leads to the Level 6 diploma certificate and transcript only.

1.1.15. Academic Progression

The process through which a student advances from one qualification level to a higher qualification level, subject to meeting the applicable academic entry requirements, assessment criteria, and registration obligations.

1.1.16. Diploma Transfer

A request to change from one registered diploma program to another. Transfers between diploma qualifications are governed by the registration, payment, and eligibility provisions of this policy. An EduQual Learner Registration Fee paid for one qualification cannot be transferred to another qualification.

1.1.17. Recognition of Prior Learning (RPL)

A process through which an applicant's relevant professional experience, previous learning, or demonstrated competencies may be evaluated for admission eligibility when the applicant does not possess the prescribed formal academic qualifications. Approval is subject to the College's applicable admission and assessment procedures.

1.1.18. English Language Proficiency Requirement

The requirement for students under the new lab-based assessment framework to demonstrate English language proficiency by submitting an accepted examination result, such as IELTS UKVI or the Duolingo English Test, in accordance with the English Language Proficiency Assessment Policy.

1.1.19. Course Access Renewal

The process of extending or restoring access to a diploma program after the original access period has expired. Renewal is subject to the available payment plans, applicable fees, and conditions established by Al Nafi International College.

1.1.20. Reassessment

An additional assessment attempt permitted when a student fails an examination or assessment component, subject to the eligibility requirements, applicable reassessment fees, and provisions outlined in the relevant assessment policy.

1.1.21. Certification

The formal process through which an eligible student is awarded an EduQual diploma certificate and official transcript after successfully fulfilling the prescribed academic, assessment, registration, and payment requirements.

1.1.22. Official Transcript

An academic record issued by the awarding body that documents the qualification units and academic achievements associated with the student's successfully completed diploma program. The content of the transcript depends on the student's registered qualification and approved progression pathway.

1.1.23. Al Nafi Student Portal

The College's designated online learning platform through which students access course materials, lectures, laboratory exercises, assessments, academic progress information, and other educational services.

1.1.24. Academic Operations Center (AOC)

The department is responsible for overseeing academic processes, assessment administration, examination coordination, student academic eligibility, certification procedures, and implementation of applicable academic policies.

1.1.25. Know Your Student (KYS)

The student identification and information verification form used by Al Nafi International College to collect and validate the personal, educational, and other relevant information required for admission, registration, academic administration, and certification.

  1. Diploma Access Policy

    1. Access Duration

Students enrolled before 1st August 2026

  1. For all EduQual diplomas, except Level 5 & 6, access to course content, including all MCQ assessments, is limited to 12 months from the date of enrollment.

  2. For an EduQual Level 5 diploma, paying the full course fee provides access for 15 months.

  3. For an EduQual Level 6 diploma, paying the full course fee provides access for 18 months.

  4. In addition to the annual payment plan, students who choose monthly, quarterly, or half-yearly payment options will receive their course content through a defined drip schedule, meaning content will be gradually unlocked in alignment with their payment timeline. Upon completion of the final payment under the selected payment plan:

  • EduQual Level 5 Diploma students will receive an additional 3 months of access, bringing the total access period to 15 months.

  • EduQual Level 6 Diploma students will receive an additional 6 months of access, totaling 18 months.

  1. The course content will be made available to students in alignment with the terms of their chosen payment plan, ensuring that each student has access to the appropriate materials as they complete their payments.

Students enrolled on or after 1 August 2026

  • For all EduQual Diplomas (Level 3 & 4), access to course content and assessments is limited to 12 months from the date of enrollment.

  • For the Diploma in DevSysOps Engineering (EduQual Level 5), program access is 15 months.

  • For the Diploma in Artificial Intelligence Operations (EduQual Level 6) (excluding the top-up version of Diploma in Artificial Intelligence Operations (EduQual Level 6)), program access is 18 months.

Students who choose monthly, quarterly, or half-yearly payment options will receive their course content through a defined drip schedule, meaning content will be gradually unlocked in alignment with their payment timeline. Upon completing the 12th monthly payment or the last due payment of the course, the students will receive the remaining access period of the respective diploma.

  1. New Course Content

Any new courses added to any diploma program during the access period will be made available to students if listed on the website or course contents page.

  1. Early Access to New Courses: Occasionally, new courses may be released ahead of schedule or as part of a pilot program, allowing some students to access content before it is officially listed.

  2. Changes in Course Content: If significant updates or improvements are made to existing courses during your access period, these updated materials will also be made available at no extra cost.

  3. Course Removal or Replacement: In rare cases, a course might be removed or replaced due to curriculum changes. If this happens, students will be provided with equivalent or alternative courses.

  4. Technical or Administrative Delays: If there are unforeseen technical or administrative delays in adding new courses during your access period, Al Nafi will communicate updated timelines promptly. If your access expires before the courses become available, Al Nafi will provide 1 month of free access to cover the delay.

  1. Expired Access and Renewal

  1. If your 12-month access expires but you wish to study newly added courses, you may renew access by selecting and paying for any available payment plan.

  2. Students paying monthly after the initial 12 months will receive full course access for the duration of their monthly payments.

  1. Diploma Registration Fee Guidelines

  1. All students, regardless of their selected payment plan, must pay the Diploma Registration Fee (EduQual Learner Registration Fee), within two months of paying their course fee. Failure to pay within this period will result in a late-payment fee.

  2. Timely payment ensures that your official registration date with EduQual reflects the actual start of your studies.

  3. If the registration fee is not paid within the required time, a £30 late-registration fee will be imposed on that specific student. The fine is dependent upon the diploma level as EduQual will record the registration date as the date the fee was paid, not the date you started the course.

  4. Students who have not yet paid the Diploma Registration Fee are strongly advised to make the payment as soon as possible to avoid any discrepancies in diploma certification.

  5. Students who are unable to complete the diploma within two years from the date of enrollment will be required to pay a 30£ fee as a late completion fee.

  1. Assessments/Assignments Access and Course Validity

Students enrolled before 1st August 2026

  1. The EduQual Diploma Registration Fee is tied strictly to the diploma plan subscription.

    • Access to the EduQual Level 3 Diploma multiple-choice questions is valid for 12 months from the date of payment of the diploma registration fee. The oral exam topic must be obtained from the Academic Operations Center within this active access period. Students who receive the oral exam topic must submit the presentation and supporting documents within a maximum of three months from the date stated in the oral exam topic document. Please note that maintaining an active Al Nafi Student Portal account solely for the purpose of clearing the oral exam is not required. As there may be a waiting period of 2 to 3 months for appearing in the oral exam, extending portal access during this idle period is unnecessary. If course access expires due to incomplete coursework, students are required to renew their access in order to complete the remaining modules. Students who fail to complete the coursework and assessments within two years of enrollment will be required to pay an additional 30£ to obtain their EduQual diploma certificate.

    • Access to the EduQual Level 4 Diploma multiple-choice questions is valid for 12 months from the date of payment of the diploma registration fee. Students who fail to complete the coursework and assessments within two years of enrollment will be required to pay an additional 30£ to obtain their EduQual diploma certificate.

    • Access to the EduQual Level 5 Diploma multiple-choice questions is valid for 12 months from the date of payment of the diploma registration fee. Students who fail to complete the coursework and assessments within two years of enrollment will be required to pay an additional 30£ to obtain their EduQual diploma certificate.

    • Access to the EduQual Level 6 Diploma multiple-choice questions is valid for 12 months from the date of payment of the diploma registration fee. The oral exam topic must be obtained from the Academic Operations Center within this active access period. Students who receive the oral exam topic must submit the presentation and supporting documents within a maximum of three months from the date stated in the oral exam topic document. Students who fail to complete the coursework and assessments within two years of enrollment will be required to pay an additional 30£ to obtain their EduQual diploma certificate.

Students enrolled on or after 1 August 2026

Multiple Choice Questions

After paying the Course Fee and the EduQual Diploma Registration Fee students will receive access to multiple-choice question (MCQ) assessments on Al Nafi Student Portal.

  • EduQual Level 3 & 4 Diplomas: Multiple Choice Questions access is available for 12 months.

  • EduQual Level 5 Diploma: Multiple Choice Questions access is available for 15 months.

  • EduQual Level 6 Diploma: Multiple Choice Questions access is available for 18 months.

Important Note: Students should be aware that if course access expires in accordance with their selected payment plan, the access must be renewed following the terms of that plan. Please note that access to the MCQs will not extend beyond the total active duration of the course access itself.

Hands-On Labs

Practical laboratory assessments constitute a mandatory component of the diploma assessment framework. Access to these laboratories is governed by the student's selected course payment plan. Students whose course access has expired must renew their access to complete any outstanding laboratory requirements.

English Proficiency Exam

The third component of the diploma assessment is the English Language exam. You can meet this requirement by submitting a valid score from an approved English proficiency test — either IELTS UKVI or the Duolingo English Test. Students must submit a valid result from an approved English language proficiency examination, such as IELTS UKVI or the Duolingo English Test, in accordance with the College's English Language Proficiency Assessment Policy. Students intending to pursue international academic progression must independently verify the English language requirements of their intended institution and destination country.

Important note

Students who enrolled before 1st August 2026 have the option to switch to the new assessment structure. Those who choose to do so will need to complete the MCQs, the Al Razzaq labs (Part 1), a set of additional labs (for EduQual Level 5 & 6 students only), and the English proficiency exam. Please note that once you've switched to the new assessments, you won't be granted any flexibility with course access or deadline extensions for completing these assessments.

  1. Students who enrolled before 1st August 2026 and have kept the oral exam and MCQs should note that if they fail the MCQs and/or the oral presentation and viva voce exam(s), they'll need to pay the £100 reassessment fee to retake the relevant exam(s).

  2. Students who enrolled after 1st August 2026 can meet the English Proficiency Exam requirement by submitting a valid score from an approved test — either IELTS UKVI or the Duolingo English Test — as outlined in the English Language Proficiency Assessment Policy. To complete the diploma, you'll need a minimum score of IELTS UKVI 6.5 or Duolingo 115–120. This same requirement applies to students who have switched to the new assessment structure.

  3. Al Razzaq Labs are continuously improved to incorporate new technologies and learning outcomes. As a result, the lab structure and content may evolve over time. Students who enrolled before a new lab version was released will initially see the labs that were current at their enrollment date.
If any student does not have access to the latest lab materials, or they should have access to labs that are not yet visible on the student portal, please contact the support team at [email protected]. The team will verify your enrollment and payment status and grant you access to the appropriate labs at no additional cost.

  4. Students enrolled on or after 1 August 2026 need to complete all assessments and coursework for diploma completion and certification. If any student has already completed labs under an earlier version, those results remain valid. Should any student later receive access to a newer version, they are not required to redo the labs unless explicitly instructed by the Academic Operations Center.

  1. Al Razzaq Labs Access

Al Razzaq Labs are practical, hands-on learning resources designed to develop vocational skills aligned with emerging technology domains. Access to these labs is governed by the following conditions:

  1. Refund of Payments

All payments made to Al Nafi International College for diploma registration, course fees, certificates, transfers, assessments, and any other services are non-refundable. Once a payment is processed and confirmed, it cannot be reversed or refunded under any circumstances.

Students are advised to carefully review all course and payment details before making any payments. This policy helps us maintain the quality and continuity of our educational services.

If you have any questions or concerns about payments or your enrollment, please contact the support team before making any payment.

  1. Assignments & Exams Access and Completion Policy

    1. Access of Multiple Choice Question (MCQ) Assessments

  1. Students enrolled before 1st August 2026 will have access to the multiple-choice questions for up to 12 months, with the access period starting from the date the EduQual diploma registration fee is paid. Students enrolled on or after 1 August 2026, on the other hand, will have access to the multiple-choice questions in line with their course access on the Al Nafi student portal.

  2. Students can attempt MCQ assessments multiple times within this period. Their final grade will be based on the average of attempts in a single multiple-choice questions bank. For further details, refer to the Assessments and Grading Policy.

  3. If a student does not complete the MCQ assessments within the access window and their access expires, the student will be required to renew the course access in order to complete this assessment.

  1. Access of Oral Presentation Examination (only applicable to students who are enrolled before 1st August 2026)

  1. Obtaining the Oral Examination Topic

To appear in the live oral exam, students must first receive an oral exam topic from the Academic Operations Center. To get your topic, you'll need to meet all of the following completion criteria:

  • Coursework: Complete at least 85% of all courses.

  • Internship multiple-choice questions (MCQs): Complete 100% of the MCQs.

  • EduQual Diploma multiple-choice questions (MCQs): Complete 100% of the MCQs.

  • Al Razzaq Labs – Part 1: Complete 100% of the labs. Every lab should be completed.

Once you've met all the criteria above, your oral exam topic will be made available to you on the Al Nafi student portal and/or sent to the email address registered with your Al Nafi student portal. If you haven't received your topic, you can contact the Academic Operations Center at [email protected]. The topic will be sent to your registered email address.

B. Exam Timeline & Preparation Period

Students who receive the oral exam topic must submit the presentation and supporting documents within a maximum of three months from the date stated in the oral exam topic document. They are given a minimum of 6 weeks of preparation time from the date on which the topic was assigned.

C. Exam Format, Submission & Al Nafi Student Portal Access

The oral exam is not conducted on the Al Nafi Student Portal. Students are required to demonstrate the live working of their project, ensuring that the project is fully functional and complete as per their oral exam topic. Since this may require additional time to implement correctly, students will be provided with extra time if needed.

Submission:

Students must submit the following as a response to their oral exam topic:

  • The presentation

  • A link to the project deployed on GitHub must be submitted.

  • Supporting documents and visual diagrams e.g architecture diagrams, data flow diagrams, network diagrams.

  • Source code files, diagrams, supporting links, and other relevant documentation.

Al Nafi Student Portal Access:

If a student's course access expires while preparing for the oral exam, they are not required to renew it solely for appearing in the exam. However, if the student has pending coursework or incomplete assessments or Al Razzaq labs, they must renew their course access to meet the course completion requirements.

D. Deadline & Revocation Policy

The oral exam topic will be assigned with a clear submission deadline. If a student fails to pass the oral exam within 12 months from the date the oral exam topic was assigned, the assigned topic will be revoked. Prior to revocation, the student will receive timely reminders to complete and submit their presentation and other necessary documents.

  1. Assessment Retakes

If students fail either the MCQ and/or oral presentation exam, they will be required to retake the failed assessment. A reassessment fee of £100 applies for any retake of the assessment. However, if students fail both the MCQs assessment and the oral presentation exam, they will be required to pay the full diploma registration fee (£250) again.

  1. Extension Requests

  1. If exceptional circumstances prevent a student from completing assessments on time, the student may submit a formal extension request with supporting documentation (e.g., medical certificates) at least 7 days before the deadline.

  2. Extension approval is at the discretion of Al Nafi Senior Management and will be communicated promptly.

  1. Consequences of Expired Assessment Access

  1. If any student fails to complete assessments within the specified periods without approved extensions, assessment access will be suspended.

  2. Students will regain access by renewing their course access according to Al Nafi’s payment plans available.

  1. Technical Support

Al Nafi provides support to assist you in accessing assessments and scheduling oral presentations. For any technical issues, please contact Al Nafi Support promptly via live chat or support email.

  1. Communication and Notifications

Students will receive timely reminders regarding MCQ assessment access expiration and oral presentation deadlines via email and the student portal.

  1. Academic Integrity

All assessments must be completed by Al Nafi’s Academic Integrity Policy. Violations may lead to disciplinary action.

  1. Special Considerations

Students with approved special considerations, such as health conditions, Personal or Family Emergencies, disabilities, learning differences, or Technology Issues, may be eligible for deadline extensions or access period adjustments. Contact Al Nafi Support at [email protected] to discuss your situation.

  1. Appeals Process:

If any student believes that their assessment access or deadlines have been unfairly restricted, they may file an appeal following Al Nafi’s Appeals Policy with supporting evidence for review.

  1. Course Transfer & Academic Progression

    1. General Principles (Applicable to All Students)

      1. The EduQual Learner Registration Fee

The EduQual Learner Registration Fee is a payment made to register you for a specific diploma title at a specific level. See section 9 for details.

  • This fee is non-transferable and non-refundable.

  • You cannot swap to a different diploma at the same level without paying a new registration fee.

  • You cannot upgrade to a higher-level diploma without paying a new registration fee for that level.

  1. Progression vs. Transfer
